Unless otherwise specified in the contract, these Terms and Conditions govern the procedure for cooperation between the tour operator Visit RUS LTd, str. Sadovaya, 22/2, St. Petersburg, 191023, Russian Federation (hereinafter “Visit RUS”) and tour participants, as well as third parties booking tours or services for their tourists (hereinafter “Customer”), for all services provided Visit RUS.
Contract
These Terms and Conditions apply to all Visit RUS services. They form the basis on which reservations are made in Visit RUS. It is believed that the Customer making the reservation at Visit RUS accepted these conditions on behalf of the persons indicated in the reservation.
All contracts must be concluded in written form and duly signed by both sides. Any subsequent changes and / or additions must be mutually agreed upon and must also be in written.
Visit RUS has the right to amend the contractual services in case of serious reasons that arise after the conclusion of the contract, and make such a change inevitable. Visit RUS will immediately inform the Customer of such changes. No amendments or changes are allowed that significantly affect the general nature of the services, or are unacceptable to the Customer.
Visit RUS acts as an agent for all third-party suppliers. Such actions are performed on behalf of and in accordance with the terms and conditions of third-party suppliers. All rights and obligations under such agreements provided for by Visit RUS will also apply to the Customer.
No changes to these Terms and Conditions will have any effect if they are not made in written form and agreed with Visit RUS.
Booking
Reservations can be done by phone, through a website, by email, or in person. All orders will be confirmed by Visit RUS by e-mail or in person. After signing the contract and receiving full payment (unless otherwise agreed) on the reservation made by the Customer at Visit RUS, we will send the vouchers by e-mail. These vouchers must be showed for transfers, at hotels or for guides.
The information required by Visit RUS depends on the tour or service and will be communicated to the Customer during the booking process. If the Customer does not provide the information required by Visit RUS, we also reserve the right to consider your reservation (or the corresponding component of your reservation) canceled and charge cancellation fees or losses incurred. Visit RUS is not responsible for any fees incurred by the Customer as a result of errors, omissions, inaccuracies, delays, inappropriate or other incomplete information provided by the Customer.
Change of a booking
If the Customer wants to make changes to his reservation, he must notify Visit RUS about this as soon as possible. We will try to help and do our best for this. Any changes in the reservation (date of arrival or departure, travel conditions, etc.) that were previously confirmed, if changes are possible, and which occur more than 30 days before the planned execution of services, may be subject to an administrative fee per person for a change in the amount of 1200 rubles. The Customer will also be liable for any costs incurred by other service providers as a result of the change.
The possibility of any changes to the reservation that the Customer wants to make within 30 days before the trip should be specified in Visit RUS. This does not apply to changes associated with minor costs. The Customer will also be liable for any possible costs charged by the service providers as a result of any cancellations or changes to the reservation. Visit RUS reserves the right not to make changes 7 or less days before the trip. Any expenses arising in connection with the request for changes are paid by the Customer regardless of whether the Visit RUS has successfully confirmed the requested change.
Unless otherwise specified in the contract, changes in the dates of travel and the services provided, which are requested by the Customer after the conclusion of the contract, are considered as cancellation and new reservation. Any request for a change in non-refundable services will be considered as cancellation.
Visit RUS reserves the right to change the tour program at any time, prematurely terminate the tour or offer alternative solutions in case of emergency. Visit RUS is obligated to immediately inform the Customer of any changes in the services and / or program.
Cancellations of a booking
To cancel a reservation, the Customer must inform Visit RUS about this by e-mail: info@visit-rus.com. Any cancellation must be confirmed by Visit RUS by e-mail. The date on which the cancellation request will be received by Visit RUS will determine the cancellation fees. At Visit RUS we do our best to minimize cancellation fees for our guests, but we must abide by the cancellation policy of each service provider. All cancellation fees will be charged to the Customer at the actual expenses incurred by Visit RUS on the day of receipt of the cancellation request from the Customer.
All cancellations must be received before the beginning of the tour or the provision of services. Refunds are not made if the Customer did not appear to provide him with services in accordance with the confirmation. Refunds will also not be made in respect of any unused services or partially completed trip.
Visit RUS has the right to cancel the tour if the minimum number of tourists required for a particular tourism program has not been reached 4 weeks before the start of the tour. Visit RUS will immediately notify the Customer of the reason for the cancellation. Customer will be offered another travel program or a full refund of the amount already paid. Further claims for compensation are excluded.
Hotels & Transfers
We carefully select hotels for our customers, working only with reliable partners. Check-in time is usually at 2 pm. and Check-out at noon. The food option depends on the hotel you choose and the type of food, breakfast is usually included. All hotels selected for the programs are subject to change in this case clients will be accommodated in hotels that are equivalent in service and price category. Transfers and transportation on our tours are conducted by cars, minivan or tour buses, depending on the number of passengers.
Documents
Each Customer is responsible for having a valid passport and possessing any required visa. Visit RUS is exempted from any liability if the traveler is deported or denied entry due to non-compliance with the entry requirements or violation of the passport regime. The Customer will be liable for any costs resulting from this, in accordance with our cancellation policy and the voluntary refusal of our services.
Visit RUS strongly recommends all tour participants to take out comprehensive insurance covers for personal injury, medical expenses, cost of repatriation to home country, compensation of losing luggage, and expenses arising from cancellation, postponement, delay of the tour or a flight.
Prices
The final price of the tour and services of Visit RUS is calculated individually, according to the request of the Customer. Visit RUS reserves the right to change prices, in particular, if necessary as a result of legislative or other regulation, changes in tariffs of third-party suppliers, for example, transport companies, hotels, etc.
Changes in the cost of the tour in case of emergency are reported no later than 3 weeks before the beginning of the tour. If the difference between the new and the starting price of the tour exceeds 20%, the Customer has the right to either cancel the contract by writing within 5 days after notifying of a change in the price of the trip. At the same time, the Customer can receive a full refund of the services that are already paid, or book an alternative tour at Visit RUS. Further compensation for damage is excluded.
The cost of the tour for a person will increase if the Customer reduces the number of people in the group, based on which the price for one participant was calculated.
All prices are in Euros. In certain cases, promotional prices are valid for a certain period. These prices are valid for a certain period, as long as there is available place. Visit RUS can’t be held accountable for erroneously quoted prices.
Payment
Full and final payment - must be received by Visit RUS no later than 30 days before the beginning of the tour or the provision of services, unless otherwise specified in the reservation. If the reservation is made less than 30 days before the departure date, full payment must be made at the time of booking. In the absence of payment, Visit RUS reserves the right to suspend the provision of services or cancel all orders.
Advance payment is due to be paid upon receive the invoice. Expenses incurred in excess of the agreed contract price will be charged to the Customer and payable within 10 days from the date of invoice.
All the payments for Visit RUS services are made by bank transfer on the bank account, indicated on the invoice, unless otherwise contractually agreed. Each party shall be responsible for transfer fees charged by its own bank.
Exclusion of Liability
Responsibility of Visit RUS for significant violations of contractual obligations. The Customer protects the Visit RUS from any requirements that are based on circumstances related to the activities of the Customer. The Customer also understands that Visit RUS acts as an agent for these third parties.
Visit RUS is not responsible for the actions and inaction of these third parties. In addition, Visit RUS is not responsible for any losses, injuries, incidents or financial losses caused by a third party. Visit RUS is not responsible for interruptions in travel arrangements caused by cancellation of a flight or train, delays that happen for any reason.
Contract termination
Visit RUS may terminate the present contract without notice in the event that individual travelers seriously disturb the travelling despite a warning by Visit RUS, or misbehave in such manner which justifies an immediate rescission of the contract. In case of termination by Visit RUS, the last can pay the price, what will be covered by the cost of payment and such extra services that are obtained through the use of unclaimed services calculated by the purchasers of services.
Force majeure
Visit RUS Company, at its discretion, can cancel a trip that endangers tourists, is significantly difficult, impossible due to force majeure circumstances, meteorological danger, official measures, war, uprising, natural disasters, political unrest, strikes, demonstrations, difficult road conditions, closed roads or similar unforeseen events. Visit RUS cannot be held liable for any claims arising as a result of force majeure.
Governing Law
Customer and Visit RUS agreed that the contract is governed by the laws of the Russian Federation. All disputes between the Customer and Visit RUS arising in connection with the concluded agreements, these terms and conditions are resolved in St. Petersburg, Russia. The invalidity of certain provisions of these Terms and Conditions does not entail the invalidity of the contract as a whole.
Complaints
Customer wishing to submit a complaint relating to a tour or services should inform your guide, or other Visit RUS representative or contact Visit RUS by e-mail info@visit-rus.com, that we can find a solution as quickly as possible. Please also provide a written statement within 20 days of completion date of tour or service provision. Visit RUS will not address any complaints received after this time period.
